Invitation Letter & VISA Information
We offer two types of official invitation letters. Before submitting your application, please consult with your institution or the Japanese Embassy in your country regarding the required documents, which may vary depending on your circumstances.
1. Letter of Invitation in the format of UP2026
- A Letter of Invitation will confirm your registration as a participant in UP2026. However, please be aware that it does not provide financial support for your travel or cover any expenses related to attending the conference. For further details, kindly visit the JNTO website and MOFA websites.
- You will receive a Letter of Invitation after your registration and payment. Participants can download a Letter of Invitation from "My Page" on the online registration portal.
2. VISA support application for documents in the format specified by Japanese Ministry of Foreign Affairs
Visa Support Application
Citizens of some countries require a visa to enter Japan. If necessary, we will prepare and provide the required documents to support your visa application, ensuring they meet the format specified by the Japanese Ministry of Foreign Affairs.
Application Period
From April 6th to June 30th
*We will send the document you require from May 7th.
How to apply
- You will be able to request the documents via "My Page" once you have completed your registration and payment.
- Document Provided: A Letter of Invitation in the format specified by the Japanese Ministry of Foreign Affairs (MOFA)
- Handling fee: JPY 22,000 / per person (tax included)
- A Letter of Invitation will be provided to the participant and any accompanying persons (spouse and children).
Important Notice
- Please note that we cannot guarantee the issuance of a visa.
- Your visa application may be denied by your local embassy for various reasons, even if you have submitted all the required documents per the Japanese Ministry of Foreign Affairs guidelines. In such cases, we cannot offer a refund of the support fee.
- The organiser reserves the right to decline the provision of necessary documents. If this occurs, your application will be cancelled, and a full refund of the support fee will be issued, regardless of the stage of your application process.
